Administration Assistant

Required from: October 2026

Position: Administrative Officer (Permanent), Term Time Plus inset days

Hours: 8:30am-4:20pm, 22 hours per week (Wednesday to Friday)

Salary: Grade 3

About the Role

As an Administrative Officer, you will be an important first point of contact for callers and visitors to the school, providing a welcoming, professional and efficient reception service. Working under the direction of the School Office Manager and Headteacher, you will provide effective administrative support to the school and Leadership Team, helping to ensure the smooth day-to-day running of the school office while maintaining confidentiality and high standards of safeguarding.

Key responsibilities:

Providing a welcoming and efficient reception service, receiving parents and visitors, ensuring visitors sign in and that safeguarding checks are completed in line with school procedures

Filtering telephone calls, taking and distributing messages, processing enquiries, booking appointments and arranging meetings and diaries as directed

Supporting administration through word processing, photocopying, collating documents, preparing communications, reports, emails, text messages and website information

Arranging after-school clubs across both sites using the Arbor MIS system, including loading clubs, chasing payments, informing parents and creating registers

Maintaining and updating manual and computerised records and filing systems, including pupil records and school MIS data

Chasing dinner money and other payments from parents and maintaining appropriate records

Liaising with outside agencies, the Local Authority, other educational establishments, support services, suppliers and contractors as required

Supporting school medical arrangements and ensuring relevant paperwork is completed

Monitoring office equipment and stationery/office supplies, reporting concerns and ensuring orders are placed in good time.

About You

We are looking for someone who is:

Able to prioritise and organise their workload, meet deadlines, cope with interruptions and remain calm under pressure

An effective and professional communicator who is polite and helpful when dealing with pupils, parents, colleagues and external contacts

Able to maintain accurate manual and computerised records and filing systems relating to pupils, finance, dinner money and other school matters

Familiar with office procedures, practices and equipment, with knowledge of computer applications used in schools; experience of Arbor is desirable

Confident using Windows-based software such as Word, Excel and Outlook

Aware of GDPR principles and the importance of confidentiality when handling school information

Experienced in working as part of a team in an office setting; school office experience is preferred, although training will be given for the right candidate

Educated to a good standard of literacy and numeracy, with NVQ Level 3 Business & Administration or equivalent desirable
