Exam Access Arrangement Administrator

New City College · London · Tower Hamlets

Job description

The Role:

As an Exam Access Arrangement Administrator, you’ll play a vital part in ensuring learners receive the support they need to succeed in their exams. You’ll provide accurate, efficient and professional administrative support to the Exam Access Arrangements (EAA) process, working closely with Supported Learning, MIS (Exams), and external awarding bodies. Your work will ensure that applications are processed correctly, records are maintained to a high standard, and all activity complies with JCQ regulations and College policies.

Key Responsibilities:

  • Submitting and tracking Exam Access Arrangement applications across awarding bodies, ensuring all decisions reflect learners’ normal way of working.
  • Maintaining accurate records on ProSolution and ensuring all documentation (including Form 8s/File Notes) is correctly stored and compliant.
  • Managing the EAA inbox, triaging enquiries and providing timely responses to staff, students, parents/carers and external agencies.
  • Liaising with internal teams and external stakeholders to coordinate appointments and support processes for learners requiring exam access arrangements.
  • Producing accurate data and reports for internal and external use.
  • Keeping up to date with JCQ regulations and awarding body requirements through self‑study and training.
  • Supporting wider college activities, including occasional exam invigilation and cross‑team support during peak periods.

Who You Are:

You’re an organised, detail‑focused administrator with experience in exams or supported learning environments. You thrive in a busy setting, can prioritise effectively, and communicate confidently with a wide range of people.

You will bring:

  • Experience working within a busy exams team, ideally in FE or Supported Learning.
  • Strong administrative skills, including confident use of IT systems and large databases.
  • Excellent written and verbal communication skills, with the ability to handle sensitive information professionally.
  • A flexible, team‑focused approach and the ability to adapt to changing priorities.
  • A solid understanding of data protection and confidentiality.
  • Significant experience in an Exams Officer or equivalent role within Supported Learning.
  • Extensive exam knowledge and confidence handling complex queries.
  • Understanding of ALS funding streams.
