Are you highly organised with a keen eye for detail? Parkside School is looking for a dedicated Part Time Administrator with a focus on Finance.
In this varied role, you will perform key administrative duties to ensure the smooth running of the school office. A primary focus of this position is managing financial administrative tasks including placing orders, completing the 'Goods Received' process, managing lettings and handling finance queries from staff and the Trust central team. You will also provide support, assisting with reception cover, answering incoming queries from parents and carers and helping organise school events and trips.
Key Responsibilities
Finance Administration: Act as the main point of contact for all finance queries, place purchase orders, complete 'Goods Received' processes, oversee lettings bookings and invoicing,and liaise with the Trust central team.
General Administrative Support: Produce high quality documentation, carry out typing and reprographics, manage postal/email correspondence and maintain paper and online filing systems in line with GDPR guidelines.
Front of House & Reception Cover: Provide warm and professional reception cover when required, manage visitor sign-ins via Inventry, issue passes and handle incoming phone calls and face to face enquiries.
Communication & Parent Liaison: Respond to telephone and written queries from parents and carers, monitor whole school communication channels (including phone, email mailbox and Arbor App), and distribute information to relevant staff.
School Event & Operational Support: Support the organisation of parents' evening arrangements, school trips, visits and exam invigilation, as well as supporting emergency evacuation procedures.
Who We Are Looking For
Experience: Proven experience working in a busy office or reception environment using administrative systems and ICT packages (e.g. Microsoft Office / Google Suite). Experience multi-tasking and handling a demanding workload under pressure.
Skills & Abilities: Excellent verbal and written communication skills; strong organisational and planning abilities; ability to remain calm, patient and tactful when dealing with challenging situations or queries; high degree of confidentiality and discretion.
Qualifications: GCSE in English and Maths at Grade C/4 or above (or equivalent).
Personal Attributes: Flexible, positive approach to change; a caring, approachable and assertive personality; a strong commitment to teamworking and customer service.
